Executive Assistant

Q32 Bio Inc., is advancing novel therapeutics to treat autoimmune and inflammatory disorders.

We are looking for a team player who is an independent, proactive, Executive Assistant that enjoys a fast-paced environment to support the Research and Clinical Development functions of the company.  Your priority will be to support the CSO and President of Research, CMO and their functions and develop relationships with the members of the team.  You will integrate yourself within your teams to understand day to day activities and priorities and be proactive to avoid problems/delays.  You will be the glue that helps hold it all together. You will also partner with the Executive Assistant that supports the CEO and G&A functions of the company and will be an active participant in fostering a collaborative, independent work environment. The position reports directly to the Head of Operations.


Administrative Support

  • Provide administrative support to the President of Research and Chief Medical Officer and departmental support for their teams
  • Heavy calendar maintenance, includes scheduling external and internal meetings, travel arrangements and expense reporting
  • Work with function heads to develop prioritized calendar of internal meetings, prepare agendas and proactively prepare materials for meetings
  • Assist Human Resources with interview scheduling and employee onboarding
  • Work with and manage highly sensitive and confidential information with discretion

Departmental Support

  • Establish relationships with Key Opinion Leaders (KOLs), SAB, Founders and key consultants that work with the Research and Clinical teams
  • Schedule Scientific Advisory Board, Founder and KOL meetings and act as liaison with their assistants, arrange travel logistics and dinners
  • Assist science team with preparing legal request forms and purchase order requests
  • Point person for purchasing journal articles and helping to maintain the Reprints Desk Database
  • Assist scientists with complex international shipping, help with permits and customs
  • Work with New Product Planning and Department heads to track Research and clinical conferences, abstract dates, registration and participation including travel logistics
  • Work with Regulatory and Quality to assist with assigning project numbers to reports
  • Assist Quality to help with tracking SOPs and scheduling training


  • 5-7 years of experience senior management Bachelor’s degree preferred
  • Prior experience in biotechnology company
  • Excellent oral and written communication skills
  • Strong organizational skills with demonstrated ability to prioritize and work independently
  • Must be able to handle confidential information and issues effectively
  • Demonstrated proficiency on Microsoft office applications (Outlook, Word, Excel, PowerPoint)
